Using Asset Templates

Purpose: Using Asset Templates make it easier for users to input data and manage assets.  You can customize Asset Templates so that only essential information is recorded for different types of assets.  It simplifies the process and saves time by eliminating the need to scroll through or fill in extraneous fields.  You can also use Asset Templates to filter assets displayed on reports or the Manage Assets page.

Prerequisites: Asset Management
 
Steps:
 
Creating an Asset Template
1) Browse to Admin > Setup > Assets > Asset Templates.
2) Ensure Assets is selected then click the Add New Template button.
 
 
3) Enter a name for the Asset Template.
4) If you want the Asset Template to be displayed in the Public interface check "Display in Public View."
5) If you want the Asset Template to be displayed in the Admin interface check "Display in Admin View."
Click Save.
 
Customizing an Asset Template
1) You can customize each Asset Template by determining which fields to display on each template.  To customize the template:
2) Browse to Admin > Setup > Assets.
3) Next to the Asset Name, click the Field Ordering icon (set of arrows in the column to the left of the Asset Name).
 
 
4) To hide a field, click the Disable button.  You'll notice that the button turns to Enable and the checkmark disappears.
5) To reorder or move a field, place your mouse pointer over a field and drag it to another row.
 
Creating UDFs (User Defined Fields)
1) Browse to Admin > Setup > Core/General > User Defined Fields.
2) Select Assets then click the Add User Defined Field button.
3) Fill in and mark the desired information and click Save.
4) Return to Admin > Setup > Assets > Asset Templates.
5) Select the Field Ordering icon next to the desired Asset Template.
6) By default, UDFs are disabled.  Click the Enable button to display the UDF on the Asset Template
 
Using Asset Templates
1) Browse to Assets.
2) Click the Add New Asset button to create a new asset or the Edit icon to edit an existing asset.
3) The Template field should be displayed in the top right corner of the Asset Form.
 
 
 
4) Click the drop-down arrow to the right of the Template field to display the list of Asset Templates.
5) Select the desired Asset Template.
