How to Enable Subscriptions

Purpose: Allow Users to subscribe to Knowledge Base Articles.  When a User subscribes to an Article, an email is sent to the User when the article content has been updated.

Prerequisites: Novo initial software settings.

Steps:

  1. Click Admin->Setup->Knowledge Base->Settings.
  2. Scroll down to find the Subscription Settings section.

  3. Define your preferences via the following options:
    • Enable for Public Anonymous - if checked, allows anonymous public KB visitors to subscribe to articles.
      Note: This option implies that:
      • You won't be able to manage your current subscriptions unless you get logged on and authenticated to the Knowledge Base application.
      • The Contact Application Settings are defined as either Disable Login or Enable partial login with Anonymous Access Active Directory authentication.
    • Enable for Public Contacts - if checked, allows public KB authenticated contacts to subscribe to articles and manage subscriptions of their OWN.
    • Enable for Admin Users - if checked, allows KB Admin users to subscribe to articles and manage other customers' subscriptions based on their Role Permissions.
    • Subsciption Subject Text - the text in this field will be displayed in the subject line of the subscription email notification that is sent to subscribers.
    • Subscription Body Text - the text in this field will be displayed in the body of the subscription email notification that is sent to subscribers.
    • Include Article Content - if checked, the article content is displayed in the body of the subscription email notification that is sent to subscribers.
  4. Click Save.
  5. How subscribers are notified when an Article's content has been updated.
    • An Admin User edits an Article in the Knowledge Base.
    • After all edits have been completed, the Admin User clicks the Save & Send button at the bottom of the Properties tab to send the subscription email notification to all subscribers of the Article.
    • Note: If the Admin User clicks one of the other Save buttons, the subscription email notification will not be sent to subscribers.
