Step 5: Publish the Article

Purpose: Save an Article to be Viewed Publicly by Visitors to the Knowledge Base.
 
Note: Publishing the article for public consumption is generally accomplished by whomever has approval authority in a company.

Prerequisites
:  User has Change Article Status permission; Portal Views are enabled in Admin>Setup>Core/General>Settings - Contacts: Enable Portal Views

Steps:

Publish a Draft Article

  1. Publish the Draft to an Article - If you have a draft version that is ready for public view,
    • ensure that the proper version is shown in the Drafts field, then click on the Publish button next to the Drafts field. 
      • The draft copy replaces the original article
      • The original article is saved as the latest archive

Enable an Article to be viewed by anonymous visitors to the Knowledge Base

  1. Click Edit on the Article Button Bar
  2. In the Access field, select Public
  3. In the Status field, select Enabled
  4. Click Save
The article will now be visible to anonymous visitors.

Enable an Article to be viewed by authenticated visitors to the Knowledge Base

  1. If Public Authentication is required in Admin>Setup>Core/General>Settings, and there is no need to enable Portal Views, the process is the same as above. Visitors will simply have to login before they can see Public/Enabled articles.

Enable an Article to be viewed by Portal View visitors to the Knowledge Base

  1. Ensure Portal Views are enabled in Admin>Setup>Core/General>Settings - Contacts: Enable Portal Views
  2. Ensure Portal Views are created in Admin>Setup>Knowledge Base>Portal Views
  3. Click Edit on the Article Button Bar
  4. In the Access field, select Portal View
  5. In the Portal View field, select the Portal View to which this will be associated
  6. In the Status field, select Enabled
  7. Click Save
The article will now be visible to visitors who are configured to see the article's Portal View after they are authenticated.
 
Note: Intranet, Group and Private access levels cannot be seen publicly.
