Using the Includes Feature

Purpose: Use the Includes feature when you need one article in two (or more) places.  For example, an article covering various steps for defragmenting a hard drive could be found under Troubleshooting Steps or under Hardware Maintenance.

Using the Includes feature you can create and edit one article, and the changes will appear in the original (source) article and all destination articles -- no need to edit the same information in several different articles.

Prerequisites: Articles created.

Steps:

  1. Copy the Long Title of the article you want to duplicate by selecting it, then right click on it and select Copy.
    Note: If the article only has a Short Title, copy that instead. 
  2. Create a new article in another location with no content.  See Adding Sub-articles for instructions if needed. 
  3. Click on the Includes button.
  4. Right click in the Search field and click Paste.
  5. Click Search.
  6. When the article title you need appears, select it by checking the Select box.
  7. Click on the Save button at the bottom of the listed articles.
  8. To modify your choice, click on the Includes button again.   The original article appears in the list below the Includes header.
  9. Delete the included article and replace it with another if needed, or add a supporting article to be included.
  10. When more than one article is included, you can choose how the articles will appear from top to bottom. 
    • Select the destination article.
    • Click the Includes button to display the list of included articles.
    • In the Order column, click the Field Ordering icons to move articles to a different position.

Points About Using the Includes Feature

  1. The Knowledge Base software displays the long title within the included article.  If the source article does not have a long title, the short title displays.  You can also disable title displays within included articles.
  2. You can include multiple articles in one destination article.  The included articles will display in ascending order by article Id.
  3. Article attachments appear below their related source articles within the destination article.
  4. You cannot include an included article. 
  5. In most cases, the permissions for the original article must be set to match the permissions of the destination article.  For example, if a Public and Disabled source article is included into a Public and Enabled destination article, it will not be viewable by the public in the destination article.
  6. If you include an article within several destination articles, it might become difficult to remember which article is the source article.  To alleviate this problem, place a link in the original article that points back to itself.  Then change the link's font color to white.  The link will be invisible unless users hover over it with their mouse, or select it by a left-hold-and-drag.
  7. The article below is included.   Hold down your left mouse button and drag it over the portion below the words "Invisible Link Below," then click on it to go to the original article.
